Privacy policy

Who we are

Defcor IT Systems ("Defcor", "we", "us") is a technology services company in Texas. This policy covers defcor.us and the pages on it, including our contact form, our ad landing pages and our chat assistant. Questions about it go to info@defcor.us.

What you give us

• Contact and landing-page forms: your name, email address, phone number, anything you write in the message box, and your answers to the questions on the page (for example your company size, location and timeline).
• Chat assistant: the messages you send, and any contact details you choose to share in the chat. We keep the chat messages in Defcor OS.
• Calls with our AI assistant: when you call our AI assistant, the call is recorded and transcribed. We keep the recording, the transcript and the call details, such as your phone number and the time of the call.
• Booking a call: if we show you a booking link, the booking page is run by Microsoft (Microsoft Bookings), and the details you enter there go to Microsoft and to us.

What we collect automatically

• Analytics: we use Google Analytics 4 to understand how the site is used, such as which pages are viewed, the type of device and browser, and approximate location. Google sets its own cookies for this.
• Advertising measurement: we use the Meta Pixel, which records page views and when a form is sent. Meta sets the _fbp cookie, and we set the _fbc cookie when you arrive from a Meta ad.
• Campaign details: if you arrive from a link that carries campaign tags (for example utm_source, utm_campaign, fbclid or gclid), we keep those tags, the page you landed on and the referring site in your browser's local storage and in a first-party cookie called defcor_attr, for up to 90 days. We send them with any form you submit so we know which ad or link brought you.
• Technical data: our servers receive your IP address and browser details with each request. We use them to deliver the site, prevent abuse and keep it secure. If a form fails to send, your browser may send us an error report; it contains no form contents.

How we use it

• To reply to you, understand what you need and work out whether we're a good fit.
• To arrange a call or a meeting, and to provide services you ask for.
• To measure which ads and pages bring in enquiries, and to improve the site.
• To keep the site secure and to meet our legal obligations.

What we send to Meta

When you send a form, our server tells Meta that a lead came in, so Meta can link it to the ad you clicked. With that event we send your email address, phone number and name converted into one-way codes (SHA-256 hashes) before they leave our server, plus your IP address, browser details and the Meta cookie values above. If your answers on a landing page match the services we offer, we send Meta a second event of the same kind. We do not send the contents of your message or your answers.

Where it goes and who we share it with

Form enquiries, chat messages and call transcripts are stored in Defcor OS, our own business system. We share personal information only with service providers that help us run the site and our business, and only for that purpose:

• Netlify, which hosts this site and keeps a temporary backup copy of a form submission if it can't reach Defcor OS straight away.
• Google (analytics) and Meta (advertising measurement), as described above.
• Microsoft, for bookings.
• The telephony and AI providers behind our chat and phone assistant, to carry and record calls and to generate replies.

We do not sell your personal information. We may also disclose information if the law requires it, or to protect our rights or the safety of others.

Your choices

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing info@defcor.us. We may need to confirm it's you before we act, and we may keep what the law requires us to keep.

You can block or delete cookies in your browser settings, and clear local storage the same way. Google offers a browser add-on to opt out of Google Analytics, and you can manage how Meta uses data for ads in your Meta account's ad preferences. If we email you and you'd rather we didn't, tell us and we'll stop.

How long we keep it

We keep enquiries, chat messages, call transcripts and the details that came with them for as long as we need them to respond to you, to work with you if you become a client, and to keep normal business records. Campaign details in your browser expire after 90 days. You can ask us to delete your information at any time.

Security

We take reasonable steps to protect the information we hold, including encrypted connections to the site. No method of transmission or storage is completely secure, so we can't promise absolute security.

Children

This site is meant for businesses. It is not directed to children under 13, and we do not knowingly collect their information.

Changes to this policy

If we change how we handle personal information, we'll update this page and the date at the top.
